What we do with your information.
No legalese, because a policy nobody can read protects nobody. This is what we collect, why we have it, who else touches it, and how to make us delete it.
Who we are
Stack & Lever Inc. is a corporation based in the Greater Toronto Area, Ontario. We provide AI automation and operations consulting to service businesses in Canada and the United States.
This policy covers stackandlever.com and the emails we send from it. It does not cover the systems we build for clients during an engagement. That is governed by the agreement we sign with that client, and is described under Client engagements below.
The Managing Partner is accountable for our compliance with this policy and can be reached at info@stackandlever.com.
What we collect, and when
We collect personal information in three places on this site. There is no fourth.
When you request a discovery call.
- Your name and email address.
- What you tell us about the operational challenge you are facing. It is a free-text field, so whatever you choose to put in it.
- How you heard about us, if you select an option.
We use this to contact you, prepare for the call, and understand which channels bring us work. If you go on to schedule a time, the scheduling happens in a third-party booking tool, which collects your name, email and selected time directly.
When you subscribe to our newsletter.
- Your email address.
- The date you subscribed and the wording you agreed to, which we keep as our record of your consent.
We use this only to send the newsletter, which is one process teardown a month and carries an open invitation to book a call. We will not add you to a sales sequence, contact you separately because you subscribed, or give your address to anyone else.
When you simply visit.
- Aggregate page-view and performance data, collected by our host's built-in analytics. It is cookieless: it does not track you across other websites and does not build a profile of you.
- Standard server logs kept by our host, including IP address and browser type, used to operate the site and investigate abuse.
We do not use advertising or social media tracking pixels on this site. We do not sell personal information, and we do not share it for anyone else's marketing.
Consent, and taking it back
You give us your information by choosing to fill in a form. That is your consent, and it is limited to the purpose the form was for.
You can withdraw it at any time. Every newsletter has an unsubscribe link, and unsubscribing takes effect immediately, within ten business days at the outside. To be removed from our enquiry records instead, or in addition, email info@stackandlever.com and say so. Withdrawing consent will not affect work already underway under a signed client agreement.
Who else handles your information
We keep the list of service providers deliberately short, and each one only receives what it needs to do its job. We rely on:
- A hosted database provider, where discovery call enquiries and newsletter subscriptions are stored.
- An email delivery service, which sends our notification and confirmation emails.
- A scheduling tool, used only when you book a time for a call.
- Our website host, which serves this site and provides the cookieless analytics described above.
- Our business email provider, so any message you send us lives in that inbox.
If you want to know exactly who these providers are, email info@stackandlever.com and we will tell you. We keep the list current there rather than in this page, so that what you are told is accurate on the day you ask.
These providers operate in the United States, and that is where your information is stored and processed. It does not stay in Canada. While it is there it is subject to United States law, which means it could be accessed by American courts, law enforcement or government agencies under a lawful order, and Canadian privacy law cannot prevent that. We tell you this because Canadian privacy law expects us to, and because you should know it before you fill in a form.
We will also disclose information where the law requires it, and to professional advisors bound by confidentiality. Nothing else.
How long we keep it
- Discovery call enquiries: 24 months after our last contact with you.
- Newsletter subscriptions: until you unsubscribe, plus 12 months of unsubscribe records so we can honour the request.
- Client records: for the length of the engagement and afterwards as long as our contract, tax and professional obligations require.
When information is no longer needed for the purpose it was collected for, we delete it.
Keeping it safe
Access to enquiry and subscriber data is limited to the people at Stack & Lever who need it. Everything travels over encrypted connections and sits with providers that encrypt data at rest. No system is perfect, and we would rather say that plainly than imply otherwise. If a breach ever creates a real risk of significant harm to you, we will notify you and the Privacy Commissioner of Canada as the law requires.
Your rights
Under Canadian privacy law you can ask us to:
- Tell you what personal information we hold about you, and what we have used it for.
- Correct anything that is wrong.
- Delete it, where we are not required to keep it.
- Stop sending you email.
Email info@stackandlever.com and we will respond within 30 days. There is no charge. We may need to confirm who you are before handing over records, which protects you more than it protects us.
If our answer does not satisfy you, you can complain to the Office of the Privacy Commissioner of Canada at priv.gc.ca.
Client engagements
This is worth separating out, because it is the question clients actually ask. When we build systems for you, we work inside the tools you already own. Your business data stays in your systems. We access it only as far as the work requires, only for as long as the engagement runs, and under the confidentiality terms of the agreement we sign with you.
If we build something custom, you own it and you host it. When the build is complete we hand over full documentation and full access. Where we handle personal information belonging to your customers or staff, we do so as your service provider, on your instructions. You remain accountable for it, and our agreement with you governs how we treat it.
Changes
If we change how we handle personal information, we will update this page and move the date at the top of it. Material changes affecting information we already hold will be sent to you directly.
